How to Branch Approval Workflows in Quotivity

Branching on a Rule in Quotivity

This article explains how to branch on a rule within the Quotivity platform to manage approval workflows effectively.

How to Branch on a Rule

  1. Access Approval Rules:

    • Navigate to your approval rules in Quotivity. At the bottom of each rule, you will find an approval queue.
  2. Assign Different Approval Queues:

    • To branch your workflows, assign each approval rule a different approval queue. This allows you to use the approval queue as a property to branch off in your workflows.
  3. Create Workflow Steps:

    • For each branch, define the steps that should occur based on the approval queue. For example:
      • Branch 1: If Approval A (15-20% discount)
        • Step 1: Send an email to the approver indicating the quote requires approval due to a 15-20% discount.
        • Step 2: Request quote approval from the approver.
        • Step 3: Publish the quote.
      • Branch 2: If Approval B (20-30% discount)
        • Step 1: Send an email to the approver indicating the quote requires approval due to a 20-30% discount.
        • Step 2: Request quote approval from the approver.
        • Step 3: Publish the quote.

Handling Multiple Rules

  • If a quote breaks more than one rule, and the “Quotivity approval rule” property has multiple values selected, it may not match any branch in the workflow.
  • To address this, consider using AND/OR logic in your branches. For instance, you can create a branch that checks if the "Quotivity approval rule" is any of the specified rules.

Workflow Organization

  • Organize your workflow to check each approval queue value sequentially. This method allows you to avoid creating a branch for every possible combination of broken rules.
  • For example, if both Approval A and Approval B are broken, you can create a single branch that handles this scenario specifically.

Conclusion

Branching on a rule in Quotivity involves assigning different approval queues to your rules and structuring your workflows accordingly. By organizing your workflows effectively, you can manage multiple approval scenarios without overwhelming complexity. For further assistance, consider reviewing your workflow setup to ensure it meets your operational needs.
