How to prepare for an efficient Onboarding

Quotivity onboarding works best when roles are clear. You own your products, pricing, and business rules. We configure Quotivity to reflect those decisions and teach your team how to manage it going forward.

To move quickly and avoid rework, customers should prepare the following before onboarding begins.

Assign Clear Owners

  • Designate a primary point of contact for onboarding

  • Identify at least one internal owner responsible for ongoing Quotivity administration after launch

Prepare Your HubSpot Product Library

Your HubSpot products are the foundation of Quotivity. These should be mostly ready at kickoff.

For each product, confirm:

  • Name and SKU

  • Billing frequency (one-time or recurring)

  • Base price

  • Description (if it should appear on quotes)

Be Clear on Pricing and Packaging

Be ready to explain:

  • Whether pricing varies by customer type or segment

  • Any pricing tiers and what drives them

  • Products that require calculated pricing

  • Whether products are sold as bundles and how flexible those bundles are

Know Your Rules and Approvals

Come prepared to discuss:

  • When approvals are required

  • What triggers an approval

  • Who approves quotes

Set Expectations for Quote Templates

Bring examples of your current quotes and a clear view of what “good” looks like. We will:

  • Configure and enable one standard Quotivity example quote template

  • Ensure your team understands how to manage and adjust templates

We do not provide custom quote design or styling. Customers needing custom designs should plan to use internal web resources or a HubSpot partner (introductions available).
