Quotivity Approvals: Frequently Asked Questions (FAQ)

This article explains how the Request Approval action behaves when used in HubSpot workflows with Quotivity, including what happens on approval, rejection, and timeout.

Do approval workflows pause while quotes are awaiting review?

Yes. 

Take this simple approval process:

The workflow won't continue past the "Request Quote Approval" step until the quote has been reviewed (either Approved or Rejected). Once reviewed, it will continue. there is no need to add a delay.

What happens if a quote approval is rejected?

If an approval is rejected, Quotivity behaves in three important ways:

  1. The Quote Owner is notified by email
    The owner receives a notification that the approval was rejected. That email includes the comments from the reviewer.
  2. Publishing and re-approval actions are blocked
    Any subsequent "Publish Quote" and "Request Quote Approval" actions in that workflow will fail.
  3. The approval result is available in the workflow
    The workflow can read the approval outcome, allowing you to:
    1. Branch logic based on Approved vs Rejected
    2. Explicitly stop or redirect the workflow.
    This makes it possible to intentionally abort the approval process when needed
