Requiring an access PIN with a rule
Automatically require buyers to enter a PIN before a published quote opens — a PIN you choose, a random one, or none.
This feature requires an Enterprise plan.
Overview
Section titled “Overview”Manage Quote Access Pin is the Quote Rule outcome that controls whether buyers must enter a PIN before a published quote opens. It does the same thing a rep can do with Require access PIN in Quote Builder, without the rep having to remember. You can:
- Require a specific PIN — every matching quote uses the PIN you enter
- Require a random PIN — each matching quote gets its own randomly generated PIN
- Turn off the PIN — matching quotes don’t ask for a PIN
Supported for Quotivity Templates only. HubSpot templates are not supported. This outcome has no effect on quotes that use a HubSpot template.
For what buyers see and how the PIN reaches them, see Protecting quotes with an access PIN.
Prerequisites
Section titled “Prerequisites”- An Admin role in Quotivity Studio
- An Enterprise or Trial plan
- Quotes that use a Quotivity Template
- Create or open a Quote Rule. In Quotivity Studio, open Quote Rules and start a new rule or edit an existing one.
- Set the conditions (optional). Add conditions if only certain quotes should be protected — for example, quotes over a threshold or for a specific pipeline. Leave conditions off to apply to every quote the rule covers.
- Choose Manage Quote Access Pin. Set the rule’s outcome to Manage Quote Access Pin, then pick an Access PIN option.
- Configure the option you chose:
- Require a specific PIN — enter a PIN of 4 to 6 digits.
- Require a random PIN — choose a PIN length of 4, 5, or 6 digits. The default is 6.
- Turn off the PIN — no extra fields.
- Set a priority if more than one PIN rule can match. Highest number wins, and only one PIN rule applies.
- Save and activate the rule. Matching quotes pick up the PIN setting the next time they update. Buyers are asked for the PIN once the quote is published.
How the rule behaves after it applies
Section titled “How the rule behaves after it applies”The rule sets the PIN once per quote, the same way Set Signature Options works:
- If a rep later enters a new PIN or turns the PIN off in Quote Builder, the rule leaves that change in place.
- A random PIN is generated once. Later quote updates don’t replace it with a new one.
- Editing the rule itself applies the new setting the next time a matching quote updates.
When a quote is cloned, a random PIN set by a rule is not copied: the rule runs again on the clone, which gets its own new PIN. A specific PIN set by a rule is copied to the clone unchanged. Change and renewal quotes start without a PIN, and the rule applies to them once like any other quote.
Examples
Section titled “Examples”- Protect large deals. A rule conditioned on quote total above a threshold that uses Require a random PIN, so each high-value quote gets its own PIN.
- One PIN for a partner channel. A rule conditioned on a deal property that uses Require a specific PIN your partner team already knows.
- Exempt a segment. A higher-priority rule that uses Turn off the PIN for quotes that shouldn’t be protected.
- Quote emails include the PIN automatically and don’t attach the PDF. See Protecting quotes with an access PIN.
- A rule can’t change a published quote. Recall the quote to change its PIN, then publish it again.
- If the outcome is missing from the outcome list, the account’s plan doesn’t include it.
