Using Guided Selling with Quote Rules

Open flows from rules, condition on Flow Response answers, and automate the quote from what reps selected in Guided Selling.

Guided Selling is included on Enterprise and Trial. Legacy Pro accounts have complimentary access through November 1, 2026. Standard Pro does not include it unless it’s enabled on your account. Quote Rule outcomes and Flow Response conditions that use Guided Selling appear only when the feature is on.

Guided Selling and Quote Rules work together in two directions:

  • A rule can start a flow in Quote Builder when its conditions match.
  • Other rules can read the answers (a Flow Response) to add products, update line items, require approval, and more.

Together they turn a short questionnaire into consistent quote automation.

  • Guided Selling enabled on your account
  • At least one Active flow with Quote Builder availability (for the Start Guided Selling Flow outcome)
  • Questions you’ll condition on already created in your flows
  1. Create or edit a Quote Rule under Rules → Quote Rules.
  2. Set the conditions for when the questionnaire should appear — for example, when a certain product is on the quote or a deal property is set.
  3. Choose Start Guided Selling Flow as the outcome.
  4. Select the flow. The dropdown lists active flows available for Quote Builder. If it’s empty, set a flow to Active and Available in to All surfaces or Quote Builder only.
  5. Activate and save the rule. When the rule triggers at quote creation, Quotivity creates a minimal quote, opens the flow full screen with no Cancel, and runs price book, line items, and other create rules only after Save & Apply. Use deal, company, contact, or user conditions for this create-time rule — not quote line items. When the rule triggers later in an already-open quote, Quote Builder opens the flow in a modal. After the rep finishes (Save & Apply), that rule is marked complete for the quote and won’t reopen for the same response.

To require a flow on every new quote without showing Start Guided Selling Flow on the HubSpot deal card, use this outcome and set the flow to Quote Builder only. Create New Quote then runs the questionnaire before the builder is usable; remaining create automation finishes after the flow is saved.

A create-time Start Flow rule cannot always run. In each of these cases Quotivity finishes the remaining create automation — price book, deal line items, sender, and other create rules — and opens a complete quote instead of leaving it half-created:

  • Guided Selling isn’t included in the plan. Standard Pro accounts without Guided Selling get the quote without the questionnaire.
  • The flow can’t be loaded, for example if it was deactivated or deleted between the rule matching and the flow opening.
  • The quote is created by an AI agent (Sales MCP or the Slack agent), which has no way to present a full-screen questionnaire.

Closing or refreshing before Save & Apply reopens the same full-screen flow; it does not skip the questionnaire. In the skip cases above the rule is not marked complete, so a Start Flow rule that also matches inside Quote Builder still opens there in a modal.

In the rule builder, choose the Flow Response variable. Properties include:

  • Flow Name — which flow was completed (shown as names; Quotivity matches the flow behind the scenes)
  • Each question — by its label, with operators that match the question type

Use these conditions the same way you use deal or quote properties: to decide when an outcome should fire.

When an Update Line Items modification copies from Flow Response, that same question must also appear in the rule’s conditions. Quotivity requires this so the rule only runs when that answer is present. If save fails with a message about a missing Guided Selling condition, add the question to the rule’s conditions and try again.

A quote can collect more than one Flow Response over time (for example, a creation-time flow plus a later Quote Builder flow). Rules that depend on Guided Selling evaluate each response. Background automation such as Add Line Items or Add Collection can run again for a new response that has not been applied yet — so a second flow completion may add products again if your rules are written that way.

The same Flow Response is applied once. If that response added bundle headers, Quotivity keeps working through expand, add-on, and swap rules for those answers before it treats the response as finished. It does not add the same collection or line items again while that work is still in progress.

  1. A creation flow captures containment type and length.
  2. An Add Line Items / Update Line Items rule set uses Flow Response conditions to place the right header product and copy length onto line items.
  3. Later, when a bundle is added, a Start Guided Selling Flow rule opens a short Quote Builder–only flow for certifications; completing it swaps option products via additional rules.
  • Keep Start Guided Selling Flow rules specific — broad conditions reopen questionnaires more often than reps expect.
  • Prefer conditioning on both Flow Name and the relevant questions when several flows exist.
  • If the outcome dropdown has no flows, check Active and Available in on the flow, not just the rule.
  • Plan gating for other outcomes still applies: automation outcomes such as Add Line Items remain Enterprise (Trial includes them). Guided Selling only unlocks the Flow Response variable and the Start Guided Selling Flow outcome.
