Managing your subscription and billing

Activate your subscription, update your payment method, buy seats, and upgrade plans — all from the Manage Account page.

Self-serve billing is available only on accounts that have been enabled for account management. Until then, manage licenses from Settings → Users and contact Quotivity support for seat or plan changes.

The Subscription tab of Settings → Manage Account is where you handle billing yourself: activate a trial, keep a payment method on file, buy extra seats, review invoices, and upgrade from Pro to Enterprise. This page is available when your account includes self-serve billing. Otherwise, licenses stay on Settings → Users and subscription changes go through Quotivity support. Billing actions require the Billing Admin role — the person who activates the subscription becomes the account’s billing admin automatically.

  • A Billing Admin role for billing changes (during a trial, any Studio Admin can activate the subscription)
  • A payment method that supports recurring charges, such as a credit card
  1. Open Settings → Manage Account. During a trial, the Subscription tab shows the Pro and Enterprise plan cards. Pro is priced as an annual platform fee that includes 5 users, plus a per-user price for each additional user. Enterprise is priced per user with a 10-user minimum. Both show the one-time onboarding fee.
  2. Choose a plan. Click Choose Pro or Choose Enterprise, then enter the number of users you need. The dialog breaks down the platform fee (Pro), any additional user seats, the onboarding fee, the total due today, and the recurring annual amount.
  3. Add a payment method. Click Continue to payment and enter your payment details. Card details go directly to Stripe; Quotivity never stores them.
  4. Confirm. Once payment is confirmed your account activates, your licensed users keep working without interruption, and you become the account’s Billing Admin.
  1. On the Subscription tab, find the Payment Method card.
  2. Click Update and enter the new details. Future renewals and seat purchases use the new payment method.

On the Subscription tab, the latest invoice appears at the bottom of the plan summary. Click View all invoices for your full invoice history, including status, dates, and amounts.

Only billing admins see the payment method, billing email, and invoices on an active subscription. Studio Admins see the plan and seat counts.

You don’t need to contact support to raise your seat count. There are two ways to buy seats:

  • Add seats directly. On the Subscription tab, billing admins can click Add seats next to the seat usage bar, choose how many seats to add, and review the prorated charge for the rest of the current billing period and the new renewal amount before confirming. The seats become available immediately and you can assign users to them later from the Manage Users tab.
  • Add users beyond your seats. If you select more users than your remaining seats in the Add Users wizard, it adds a Billing step that shows the extra seats required, the prorated charge, and the new renewal amount before you confirm. See Managing users.
  1. On the Subscription tab, click Upgrade to Enterprise.
  2. Choose the number of users. Enterprise has a 10-seat minimum, so the seat count starts at 10 (or your current seat count, if higher) — you can raise it to buy extra seats as part of the upgrade, but not go below the minimum.
  3. Review the preview: the prorated amount for the remainder of your current term and the new annual renewal amount. Your Pro platform fee and user charges are replaced by Enterprise user seats; if the unused portion of your Pro fee is worth more than the Enterprise charge, the difference is shown as a credit applied to your account. There is no additional onboarding fee for upgrading, and Pro discounts do not carry over.
  4. Click Confirm & Pay (or Confirm upgrade when a credit applies). Enterprise features unlock as soon as the change is confirmed.
  • Trial accounts see how many days remain at the top of the page — activating before expiry means no interruption for your reps.
  • Seat purchases and upgrades charge the payment method on file immediately for the prorated amount; the full new amount applies from your next renewal.
  • Have questions before committing? Use the Questions? Contact us button on the Subscription tab to chat with the Quotivity team.
