Understanding contracts in Quotivity

See how Quotivity turns accepted quotes into HubSpot contracts and supports changes, renewals, and termination.

Contracts are enabled per account. Your HubSpot portal must have access to the Contracts API beta, and Quotivity must enable contracts for your account. Contact help@quotivity.com to get set up.

A HubSpot contract is the CRM record of a customer’s committed revenue. It records the products and services the customer bought, their term and billing schedule, and revenue values such as total contract value and annual recurring revenue.

Quotivity connects contracts to the quote lifecycle:

  • Accepting a new-business quote can create a contract.
  • Accepting a change quote updates an existing contract.
  • Accepting a renewal quote creates the next contract and links it to the previous one.
  • A Quotivity administrator can terminate a contract now or on a future date.

A HubSpot contract is not the buyer-facing legal agreement or signed PDF. Buyers review and accept the quote; your team uses the contract record in HubSpot to track the resulting revenue commitment. For more background on the HubSpot object, see Understand contracts in HubSpot.

Every quote Quotivity creates also gets a Quote Type property on the quote record: New Business, Change, or Renewal. Use it in Quote Rules, reports, and HubSpot workflows. See Quotivity custom properties.

When a customer accepts an eligible quote, Quotivity creates a contract from the committed line items and associates it with the source quote, deal, billing contact, and billing company. Contract creation is on by default after the feature is enabled for your account.

Start a change quote from the contract when a customer adds seats, upgrades, downgrades, or removes a product. Quotivity pre-fills the current agreement and shows the proposed differences. The contract remains unchanged until the customer accepts the quote.

Start a renewal quote from the contract or automate it with a contract-based HubSpot workflow. Quotivity carries forward recurring products, leaves out one-time charges, and starts the renewal when the current contract ends. Acceptance creates and links the next contract.

A Quotivity administrator can terminate a contract immediately or schedule a future termination date. Already billed line items are not affected.

What appears on the Quotivity Contract card

The Quotivity Contract card shows:

  • Contract dates, status, currency, TCV, ACV, and ARR
  • Create change quote and Create renewal quote actions when the contract is eligible
  • Quotivity quotes linked to the contract, tagged Original, Change, or Renewal. Clone is not offered here — use More Actions → Clone on the deal’s Quotivity Quotes card. Accepted and signed quotes stay undeletable on this card. An admin can allow Delete on ordinary accepted or signed quotes on the deal card from Settings → Quoting → General Quote Settings; change and renewal quotes stay undeletable there too.
  • A Terminate contract action, which only a Quotivity administrator can complete

An admin must add the card to the HubSpot contract record layout. Installing or updating the Quotivity app makes the card available, but does not place it on the record automatically.

After contracts are enabled and the Quotivity app is updated, a HubSpot admin can customize the contract record layout and add:

  • Quotivity Contract to the record tab for contract facts, quote actions, and linked quotes
  • Quotivity Contract Line Items to the sidebar for the contract’s products

The line items card groups bundle products beneath their bundle header and shows recurring billing frequency. Add both cards so reps can manage the contract and review its products from the same record.
