Understanding user roles
Quotivity has two roles — Admin and Sales Rep. Here's what each can do and who can approve quotes.
Overview
Section titled “Overview”Every Quotivity user has one of two roles: Admin or Sales Rep. The role decides how much of Quotivity Studio a person can see and change. This article explains what each role can do so you can assign them with confidence.
What each role can do
Section titled “What each role can do”Admin has full access to Quotivity Studio. Admins configure everything that shapes how quoting works — Quote Rules, Price Books, Bundles, templates and terms, approvals, and account settings like sender companies, notifications, and users. Admins can also approve quotes.
Sales Rep is the quote-building role. Sales Reps work in Quote Builder, where they add products, apply the pricing and rules you’ve set up, and send quotes to buyers. They don’t have access to the Studio configuration that admins manage.
About approvers
Section titled “About approvers”Approvers aren’t a separate role. An approver is simply a licensed user you’ve designated to sign off on quotes as part of an approval process. Both Admins and Sales Reps can be set up as approvers — what matters is that they’re named in the process, not which role they hold.
- Give the Admin role only to people who configure quoting; keep everyone who just builds quotes as a Sales Rep.
- A user’s role is set when you invite them and can be changed anytime on the Users page.
