How Collections work with Price Books
Collections always appear in Quote Builder. Quotivity adds a collection only when every product is in the quote's price book.
Overview
Section titled “Overview”A collection is a fixed group of products. In Quote Builder, every collection in your account appears on the Collections tab — Quotivity does not hide collections whose products sit outside the quote’s current price book.
Adding is the filter. When a rep or a rule adds a collection, every product in it must belong to that price book. If any product is missing, Quotivity rejects the entire collection. It does not add only the products that qualify.
What reps see
Section titled “What reps see”The Products and Bundles tabs only list items in the quote’s price book. The Collections tab does not. Every licensed rep who can open Quote Builder sees the same account-wide list.
That answers the usual question: collections always show up. The list is not smart about the current catalog.
What happens when someone adds a collection
Section titled “What happens when someone adds a collection”When a rep selects a collection and clicks Add, Quotivity checks every product against the quote’s price book.
- If every product is in that book, the collection’s products land on the quote together.
- If any product is missing, nothing is added. Quote Builder shows an error such as One or more of the products in this collection are not members of the selected Price Book.
A missing or archived HubSpot product fails the same way, with One or more of the products referenced in this collection couldn’t be found.
What happens when a rule adds a collection
Section titled “What happens when a rule adds a collection”The Add Collection outcome (Enterprise and Legacy Pro; Trial includes it) uses the same all-or-nothing check. When a matching rule runs and any product is outside the quote’s price book, the rule fails with Could not add the collection products. One or more of the products is not in this price book. and adds none of the products.

Cost Plus products are a different skip
Section titled “Cost Plus products are a different skip”After every product is in the price book, a Cost Plus product (Enterprise) that still cannot be priced — no cost of goods sold, or no exchange rate for the quote’s currency — is skipped on its own. Quote Builder lists those products in a Not added message. That skip does not reject the rest of the collection.
When the quote’s price book changes
Section titled “When the quote’s price book changes”Products a collection already added stay on the quote if they exist in the new price book. Products that are not in the new book are removed with the other unavailable line items. If an Add Collection rule still matches and those products exist in the new book, the rule puts missing members back.
Example
Section titled “Example”You keep an “Onboarding kit” collection with three products that live in your North America price book only. A rep quoting from the Europe book still sees Onboarding kit on the Collections tab. Adding it fails until you add those three products to the Europe book, or you create a Europe-only collection.
- Put every collection product in every price book those quotes will use.
- Or keep a separate collection per catalog when the product sets differ.
- If an add fails, open the collection and confirm each product has a price book entry — the list in Quote Builder will not tell you.
