Managing the Question Library

Refine reusable Guided Selling questions, see where each one is used, and retire questions you no longer need.

Guided Selling is included on Enterprise and Trial. Legacy Pro accounts have complimentary access through November 1, 2026. Standard Pro does not include it unless it’s enabled on your account. If you don’t see Guided Selling → Question Library in the sidebar, contact Quotivity.

The Question Library is the shared catalog of every question your Guided Selling flows can ask. Questions are created while you build a flow; the library is where you refine wording and options, see usage across flows and Quote Rules, and delete questions that are no longer referenced.

Questions are account-scoped and reusable. The same question can appear in multiple flows and steps, so answers stay consistent for Quote Rules that read Flow Response.

There is no free-text question type. Choose the type carefully when you create the question — answer type cannot be changed later, because branches and Quote Rules depend on it.

Single-select and multi-select questions with more than six options are shown to reps as a dropdown with type-ahead search rather than a list of radio buttons or checkboxes, so a long list doesn’t push the rest of the step off screen. Six or fewer options still render as radio buttons or checkboxes. This happens automatically — there’s no setting to change it.

When you create a question, you choose how it connects to HubSpot:

  • Don’t sync — answers stay in Guided Selling only (select options are stored on the question).
  • Create new — Quotivity creates a matching HubSpot property when you save.
  • Existing property — link to a property you already have; select options come from that property.

You can sync to Deal, Company, or Quote properties. If a question was created without sync, you can later attach it to a new HubSpot property from the question editor — choose Create new and click Save Changes (autosave pauses for that step). You can’t link an existing property after creation, and once a question is synced you can’t change or remove the sync. You can still edit the question label, description, required setting, default value, and (when not HubSpot-driven) select options.

Each HubSpot property can be linked to only one Question Library entry, and labels and internal keys must also be unique. When a new question collides with an existing one, select Use existing question in the error message to add that question to the current flow step instead of creating a duplicate.

Synced answers write back when a flow is submitted. On quote creation they update deal and company; from Quote Builder they also update the quote when one exists. Sync is best effort — a failed write doesn’t block the flow.

  1. Open Question Library. In Quotivity Studio, go to Guided Selling → Question Library.
  2. Find a question. Search or sort by label, type, usage, or HubSpot sync status.
  3. Edit wording and options. Open the question to update the label, description, required toggle, default value, or options (when editable). If the question isn’t synced yet, you can also create a new HubSpot property to sync to.
  4. Search a long option list. Questions with more than six options get a Search options box, and the list scrolls in its own area. Drag-to-reorder is paused while a search is active — clear the box first. Adding an option clears the search so the new row is visible.
  5. Check usage before deleting. The library shows which flows and Quote Rules reference each question. You can delete a question only when nothing references it — remove it from flows and rules first.
  6. Confirm the change saved. Edited questions apply everywhere they’re used. Deleted questions no longer appear in the library.
  • Prefer clear, durable labels — they’re what reps see and what appears as property names in Quote Rule conditions.
  • Keep the internal key stable. Flows and rules reference questions by key; you set it when creating the question and shouldn’t treat it as display text.
  • Mark questions required only when the answer is needed to continue or to drive downstream rules.
