Website quote allowance and held submissions
How many quotes your website flows can create each month, how to buy more, and what happens to submissions that arrive after the allowance is spent.
This feature requires an Enterprise plan. Website RFQs is an Enterprise add-on that is not part of the Enterprise plan itself (Trial accounts include it); see Publishing a flow on your website for adding it.
Overview
Section titled “Overview”Every quote a website flow creates counts against a website quote allowance. The add-on includes 100 website quotes each month; Website quote packs add 25 more quotes per month each, and you can buy as many packs as you need. Quotes your reps create in HubSpot never count.
| Quotes per month | |
|---|---|
| Website RFQs add-on | 100 |
| Each Website quote pack | +25 |
Each month runs from one monthly anniversary of your subscription to the next, so the allowance resets on the same day every month whether you pay monthly or yearly. An account without a Stripe subscription uses calendar months instead.
Website RFQs
Section titled “Website RFQs”Guided Selling → Website RFQs lists every request for a quote submitted through a flow on your website, newest first, with:
- the visitor’s email;
- View deal, which opens the deal in HubSpot, and, once the quote exists, View quote, which opens the quote in Quotivity;
- the flow;
- its status: Held (waiting for allowance), Creating quote or Quote created;
- when it was received and when the quote was created.
The tabs show All submissions, Processed ones (creating or created quotes) or Held ones. Search by the visitor’s email or the request ID (the reference number visitors see), and pick a Received date range to narrow the list further. Held submissions can be ticked and processed from here with Process selected.
Where to see your usage
Section titled “Where to see your usage”Open Settings → Users → Manage Account and the Subscription tab. The Website RFQs card shows:
- quotes used out of this month’s allowance, and the date it resets;
- how many packs you have;
- how many submissions are held, with a link to Website RFQs to review them;
- Usage history: a chart of quotes created each month for the last 12 months, with a line at your monthly allowance.
The Flows list, each flow’s Website page and Settings → Guided Selling → Website RFQs show a notice when submissions are held or fewer than 10% of the month’s quotes remain.
What happens when the allowance is spent
Section titled “What happens when the allowance is spent”The visitor’s experience does not change: the form still submits, and they see your response page with their reference number. Quotivity still finds or creates the contact, creates the deal and saves the Flow Response. Only the quote waits: the submission is held until an admin processes it.
Nothing is processed automatically, not even when the next month starts. Held submissions wait until you decide what to do with them, and they stay visible on Website RFQs and on the flow’s Website page.
Processing held submissions
Section titled “Processing held submissions”- Open Guided Selling → Website RFQs or the flow’s Website page.
- Tick the submissions to process and click Process selected, or click Process all (the Website page).
- Quotivity creates the quotes oldest first, using this month’s remaining allowance. When fewer quotes remain than you selected, Studio says so before it starts; the rest stay held.
- Each quote appears on its deal with your Quote Rules applied, and the contact and deal timelines get their Website flow submitted and New Quote from Public Flow Response cards, exactly as for a live submission.
When no allowance is left, Studio tells you to buy more quotes or wait for the next month.
Buying more quotes
Section titled “Buying more quotes”On the Website RFQs card, billing admins click Buy more quotes, choose how many packs to add (up to 100 at a time) and review the summary: the prorated charge for the rest of the current term, what the packs add to every renewal, and the allowance after the purchase. Confirm and Pay charges the payment method on file; the extra quotes are available in the current month straight away, so you can process held submissions right after. If you pay by bank debit, the packs are added once the payment clears.
Packs stay on your subscription until you remove them. Studio only adds packs; contact Quotivity Sales to reduce them. Accounts on a trial, or billed outside Quotivity Studio, see Contact Sales instead of Buy more quotes.
- Processing a held submission uses allowance from the month you process it in, not the month it arrived in.
- Admin agents connected through MCP can read usage, list held submissions and process them, but packs are bought in Studio only.
- Deleting a flow does not delete its held submissions; they keep the flow’s name and can still be processed.
