Setting signature options with a rule

Automatically set no signature, e-signature, or a written signature on quotes that match a Quote Rule.

Set Signature Options is the Quote Rule outcome that chooses how a quote is signed. It covers the same three choices a rep sees in Quote Builder details:

  • No Signature Required
  • Require e-Signature
  • Require Written Signature

Use it when certain deals should always skip signatures, always collect e-signatures, or always leave space for a handwritten signature — without the rep remembering to set it.

  1. Create or open a Quote Rule. In Quotivity Studio, open Quote Rules and start a new rule or edit an existing one.
  2. Set the conditions (optional). Add conditions if only certain quotes should get this signature setting — for example, quotes over a threshold, or a specific product line. Leave conditions off to apply to every quote the rule covers.
  3. Choose Set Signature Options. Set the rule’s outcome to Set Signature Options, then pick a Signature Option.
  4. Configure the option you chose:
    • No Signature Required — no extra fields. The quote does not collect a signature.
    • Require e-Signature — optionally add Require Countersigner. You can name specific HubSpot users, choose the deal owner, or both. Leave countersigners empty to collect the buyer’s signature only. The quote needs an associated contact, or the rule is skipped until one is added.
    • Require Written Signature — optionally check Include space for Countersigner so the quote document leaves room for someone on your side to sign by hand.
  5. Set a priority if more than one signature rule can match. Highest number wins, and only one signature rule applies.
  6. Save and activate the rule. Matching quotes pick up the signature setting the next time they update.
  • No signature on small deals. A rule conditioned on quote total below a threshold that uses No Signature Required.
  • E-sign large deals. A rule conditioned on quote total above a threshold that uses Require e-Signature and names your CFO as a countersigner.
  • Printed signature packet. A rule for a product line that still signs on paper, using Require Written Signature with space for a countersigner.
  • Written signature and no-signature settings apply even when the quote has no associated contact. Require e-Signature still needs a buyer contact.
  • Existing Require e-Signature rules stay editable. Opening one maps it to Set Signature Options with Require e-Signature and any countersigners already set. The outcome picker lists Set Signature Options by that name.
