Configuring the Quote Forms module

Embed HubSpot forms in the quote so buyers hand over the details you need before they accept.

Overview

The Quote Forms module embeds HubSpot forms directly in the quote — a purchase order number, a shipping address, a billing contact, a compliance question. Buyers answer on the quote itself instead of in a separate email thread, and the answers land in HubSpot.

In HubSpot’s module picker it’s called Quote Forms (Quotivity).

Settings

Setting	What it does

Each form in the list has an editable title shown above it, and can be dragged into a different position or removed. You can embed up to ten forms in one module. Until at least one form is selected, the module renders nothing on the finished quote — the preview shows a placeholder so you can still see where it sits.

Steps

Build the form in HubSpot first. Any form in your portal can be embedded.
Open the module. Select Quote Forms in the Template Modules panel.
Add your forms. Pick them from the form selector; add more than one when you’re collecting distinct sets of information.
Name each form by clicking its title in the list — “Billing details” reads better to a buyer than the internal form name.
Write a short description so buyers know why the information matters.
Drag the forms into order, then preview and publish.

Requiring forms before signing

Forms are most useful when they’re not optional. In the Quote Signature module, turn on Require Form Submission and the signature content stays hidden until the buyer completes the forms on the page. Buyers fill in the details, then sign.

Tips

Keep forms short. Every extra field is another reason to put the quote down.
Answers are stored with the quote, so a buyer who returns to the page sees what they already submitted.
If a form has to be answered before acceptance, place it above the signature block so the reading order matches the required order.
