Finding, editing, and deleting multiple line items

Search the line item table, select several rows to edit or delete them together, and sort line items by a column in the Reorder dialog.

Quotes with many line items are easier to manage with three tools in the Quote Builder line item table:

  • Search filters the table by line item name.
  • Multi-select lets you edit or delete several line items in one step.
  • Sort by column in the Reorder line items dialog puts line items in a sensible order without dragging them one at a time.

All three are available on every plan and change nothing until you confirm an edit, a delete, or a new order.

  1. Open a quote in Quote Builder and find the Search line items box in the line items toolbar, next to Reorder line items.
  2. Type part of a line item name. The table filters as you type, ignoring letter case, and shows Showing X of Y line items to the right of the box.
  3. Click the × in the box, or Clear search in the empty state, to show every line item again.

Search matches the products inside a bundle too. When an included product matches, its bundle header stays visible so you can see where it belongs; when the bundle header matches, its included products stay visible.

Every plain product, bundle header, and ramp period has a checkbox at the start of its row. Products inside a bundle have no checkbox: select the bundle header and its included products come along with it. Selected rows are highlighted, including the included products of a selected bundle.

  • Click a checkbox to select one row.
  • Hold Shift and click another checkbox to select every row in between.
  • Use the checkbox in the header row to select or clear every row currently shown. While a search is active, that only covers the rows that match.

As soon as one row is selected, the column headers turn into a selection bar that shows how many rows are selected, with Edit, Delete, and Clear selection. Changing the search term clears the selection.

  1. Select the line items to remove and click Delete in the selection bar.
  2. Review the confirmation. It lists the selected line items with their net price (the first five, then “+ N more”), notes the included products a bundle removes with it, and states how much the quote subtotal drops.
  3. Click Delete N Line Items.

Deleting cannot be undone from the quote builder. Line items that a quote rule added cannot be deleted this way; the confirmation says which ones stay on the quote.

Bulk edit works like HubSpot’s bulk edit: you pick one property and one value, and that value replaces the current one on every selected line item.

  1. Select the line items to change and click Edit in the selection bar.
  2. Under Property to update, choose one of Unit Price, Quantity, Unit Discount (percent or amount), Billing Frequency, Term (Months), or Billing Start Date. Name and Net Price cannot be bulk edited.
  3. Enter the new value. Update stays disabled until both a property and a value are set.
  4. Click Update.

A few things to know:

  • Included products in a bundle keep their own values; only the bundle header’s field changes.
  • Bulk edits follow the same validation, pricing recalculation, quote rules, and approval triggers as editing a single row.
  • Only properties your admin lets sales users edit (under Settings → Line Item Table Columns) appear in the list. Unit Price follows the price book entry instead: line items whose price book entry does not allow editing the unit price, and line items whose property is controlled by a quote rule, are skipped. The confirmation message says how many were skipped, and those rows stay selected.
  • Setting Billing Frequency to One-time clears the term. Setting a recurring frequency on a line item without a term gives it a 12-month term. Neither happens when Term (Months) is read-only for sales users or set by a quote rule; the term then stays as it was.
  1. Click Reorder line items in the toolbar.
  2. Under Sort by, choose Custom order (drag to arrange) or a column: Name, Unit Price, Quantity, Unit Discount, Net Price, Billing Frequency, Term (Months), or Billing Start Date.
  3. Choose the Order: A to Z / Z to A for text columns, Low to high / High to low for number columns. The list re-sorts immediately and the value on the right of each row switches to the sorted column.
  4. Click Save to apply the order to the quote, or Cancel to keep the current order.

Bundles sort as one item using the bundle header’s own values and keep their products in a fixed order. Ramped periods move together as well. Empty values (for example the term on a one-time line item) sort lowest. Dragging a row after sorting switches Sort by back to Custom order and keeps the order you dragged into place.
