Creating a Guided Selling flow

Build a branching questionnaire with steps, questions, and routes so reps collect the right answers before quoting.

Guided Selling is included on Enterprise and Trial. Legacy Pro accounts have complimentary access through November 1, 2026 — a purple Legacy Pro notice appears on the Flows list and in the flow builder. Standard Pro does not include it unless it’s enabled on your account. If you don’t see Guided Selling → Flows in the sidebar, contact Quotivity.

A flow is the branching questionnaire reps walk through. You arrange steps, attach questions, and define branches that send the rep to the next step — or to the end — based on their answers. When the path finishes, reps land on a Review screen and submit.

  • An Admin role in Quotivity Studio
  • Guided Selling enabled on your account
  • A clear idea of the decisions reps should make before quoting (product line, compliance, sizing, and so on)
  1. Open Flows. In Quotivity Studio, go to Guided Selling → Flows and choose New.
  2. Name the flow. Use a name reps will recognize when picking a flow or when a rule opens one.
  3. Add steps and questions. Each step groups one or more questions. Create new questions from the flow builder (they also appear in the Question Library), or reuse existing ones.
  4. Configure branches. Every top-level step needs branches that decide where to go next. Conditions can only use questions from this step and earlier steps on the path. Include the locked catch-all branch (None of the above) so there’s always a route when no other branch matches.
  5. Add option steps when needed. For a multi-select question, you can add a follow-up step per option. Reps only see option steps for the options they selected. Option steps can’t have their own branches.
  6. Set Available in. Choose All surfaces, Quote Creation only, or Quote Builder only — this controls where an active flow can be started.
  7. Test the flow. Click Test Flow in the builder header to walk through steps and branching in a modal. Create Quote is shown on Review but disabled; answers are not saved. You can test unsaved changes.
  8. Save, then activate. Save the structure, then set the flow to Active when you’re ready for reps. Leave it Draft while you’re still iterating.
  9. Confirm success. An active flow with the right availability appears for reps on those surfaces and in the Start Guided Selling Flow Quote Rule outcome (for Quote Builder availability).
  • Branches are evaluated in order; the first matching branch wins.
  • Destinations are another step or the end of the flow.
  • You can’t route a branch directly to an option step — option steps run after their parent step when the matching options are selected.
  • Only questions on the path the rep actually took are required and saved.
Setting Effect
Active Visible to reps (subject to availability)
Draft Hidden from reps; safe for editing
All surfaces Quote Creation (CRM card) and Quote Builder
Quote Creation only CRM card when creating a quote
Quote Builder only Quote Builder toolbar and Quote Rule outcomes

Turning a flow off (Draft) immediately hides it from new starts. Existing saved responses on quotes are unchanged.

You can delete a flow only when no Quote Rule references it — neither a Start Guided Selling Flow outcome pointing at it, nor a condition on Flow Name for that flow. Remove those rule references first.

A containment equipment flow asks for containment type (single-select), then branches to length and accessory questions for that type. A multi-select for certifications opens short option steps only for the certifications the rep picked. On submit, Quote Rules copy dimensions onto line items and swap the right bundle products.

  • Start with a short happy path, then add branches for exceptions.
  • Put questions that drive routing early in the flow.
  • Use Quote Builder only for flows that only make sense after products are already on the quote; use Quote Creation only when the questionnaire should happen before the quote exists.
  • Use Test Flow in the builder to check branching before you activate. Also run the flow as a rep from the CRM card and Quote Builder before wiring complex rules.
