Rejecting and recalling quotes

Approvers reject a quote that needs changes; submitters recall a quote to pull it back before a decision is made.

Not every quote should be approved, and not every quote should stay in review. Approvers can reject a quote that needs changes, and the rep who submitted it can recall it before a decision is made. Both actions clear the quote’s approval state so it can be revised and resubmitted cleanly.

An approver rejects a quote when it shouldn’t go out as-is.

  1. Open the review link. Click the link from your approval notification to open the review screen. the review screen with the Reject action and comment field highlighted
  2. Add your comments. Explain what needs to change so the rep can fix it quickly. Comments are required on a rejection, and they’re saved with it.
  3. Return the quote with comments. Click Return With Comments. The quote moves out of Pending approval, its approval state is cleared, and the quote owner is notified by email with your comments.

After a rejection, the quote returns to the rep, who can make changes and submit it again. Resubmitting starts a fresh approval cycle.

The rep who submitted a quote can recall it while it’s still in Pending approval — for example, after spotting a mistake or getting new information from the customer.

Recalling pulls the quote back out of approval before anyone has approved or rejected it. The pending request is cleared, and the rep can edit the quote and resubmit. Each recall is recorded in the quote’s history alongside the other approval events.

  • Reject is the approver’s “no, not like this.” It ends the current review with a decision and a required comment.
  • Recall is the submitter’s “wait, let me fix this.” It withdraws the quote from review before any decision is made.

Either way, the quote’s approval state is cleared so the next submission is clean.
